About Pre-Award Shared Services

Proposal preparation is an involved process that not only requires a solid technical concept and a cutting-edge technical team, but also experienced research administration support with expertise in project management, budget development, and strategic oversight charged with eliminating administrative burdens through the submission process.

PASS is a unit focused on equalizing access to proposal preparation support at UCF, under a shared services model. Our office works in consultation with faculty, academic units, and other university support offices to shoulder this administrative responsibility under one of the following methods.

Core Supported Units

The following units conduct research or sponsored programmatic activity at UCF but do not individually have a dedicated in-house pre-award staff. Under our shared services model, we have been able to leverage the support of PASS to address the collective needs of the following core units:

  • Office of the President
  • Office of the Provost & Academic Affairs
  • Administration & Finance
  • College of Business
  • College of Graduate Studies
  • Diversity & Inclusion
  • UCF Police Department
  • UCF CONNECT
  • Division of Student Learning & Academic Success
  • Faculty Excellence
  • Institutional Knowledge Management
  • Office of Research
  • Research Foundation
  • UCF Digital Learning
  • UCF Information Technology
  • UCF General Counsel
  • UCF Global
  • UCF Libraries
  • UCF Marketing
  • VP Partnership & Innovation

All units outlined here are supported for pre-award activity including proposal preparation, budget development, coordination of internal approvals and with external/internal stakeholders, and formal submission via Huron Research Suite (HRS) to the Office of Research Authorized Organizational Representative (AOR).

This team focuses on advising these faculty, administrators, and staff on how to review sponsor requirements, development of non-technical sections, budget development and ancillary document collection/review.

Ad-Hoc Proposal Preparation

For units that normally have dedicated pre-award staff that are experiencing an extended vacancy of a pre-award administrator either due to staff turnover or extended medical leave, the Pre-Award Shared Services unit may provide time-limited support to offset the current workload. Arrangements must be made between the PASS leadership team and the academic unit seeking temporary support. Special conditions may apply to the services provided contingent upon the availability of the PASS team.
